Who we are
Nova Heritage Group LLC ("Nova Heritage Group," "we," "us") is a Missouri limited liability company based in Lee's Summit, Missouri. We provide accounting, bookkeeping, payroll and tax preparation services, data analytics, and software that helps small businesses respond to and schedule customer leads. This policy covers our website, novaheritagegroupllc.com, and those services.
Information we collect
From website visitors
- Information you send us. Your name, email address, phone number and message when you email, call or book a call with us.
- Basic usage data. We use Cloudflare Web Analytics, which measures page visits without cookies and without tracking you across other websites. Calls are scheduled through Calendly, which handles the information you enter under its own privacy policy.
From accounting, bookkeeping, payroll and tax clients
- Contact and business details, financial records, bank and transaction data, payroll and employee information, and tax information you provide or authorize us to access.
Through our lead-response software
- Business clients. Account details, pricing rules, availability and settings that a business provides to configure the service.
- Their customers and leads. When a business uses our software, we process information about that business's customers on the business's behalf: names, phone numbers, addresses, job details, photos customers send, and the messages exchanged. This can include data received from platforms the business connects, such as Thumbtack, Google Calendar and its website forms.
How we use information
- To provide, maintain and improve the services our clients request.
- To respond to inquiries, schedule appointments and communicate with clients.
- For our lead-response software, to reply to a business's leads, provide estimate ranges based on that business's own pricing, schedule jobs, send follow-ups, and prepare reports for that business.
- To bill for our services, meet legal and regulatory obligations, and protect against fraud and security threats.
We do not sell personal information, and we do not use it for advertising.
Tax return information
As a tax return preparer, we use and disclose tax return information only to prepare and file your return and as otherwise permitted by federal law, including Internal Revenue Code Section 7216. We will ask for your written consent before any other use or disclosure that requires it.
Artificial intelligence
Some of our services use AI tools to draft messages, organize data and speed up routine work. We only use AI providers whose commercial terms do not allow them to use our clients' data, or their customers' data, to train AI models. People review client deliverables and returns before they are delivered, and businesses using our lead-response software control which messages require their approval.
Text messages
Our lead-response software sends text messages on behalf of the business you contacted, only in response to your inquiry and about that inquiry. Message and data rates may apply. Reply STOP at any time to stop receiving messages, and reply HELP for help. We do not sell or share mobile numbers or text-messaging consent with third parties for their marketing.
How we share information
We share personal information only:
- With service providers that help us run our services, such as hosting, phone and text-messaging carriers, AI providers, accounting and payroll software, e-signature, scheduling and payment processing. They may use it only to provide services to us.
- With the platforms a client authorizes us to connect to, such as Thumbtack or Google, as needed to provide the service.
- With taxing authorities and agencies when we file returns or reports on your behalf.
- When required by law, legal process or to protect rights and safety.
- With a successor business if Nova Heritage Group is reorganized, merged or sold, subject to this policy.
How we protect information
We use reasonable administrative, technical and physical safeguards to protect personal information, consistent with the FTC Safeguards Rule for tax and financial service providers. These include access controls, encrypted connections, secure client portals and electronic signatures in place of emailed passwords or documents. No system is perfectly secure, and if a security incident affects your information, we will notify you as required by law, including Missouri's breach-notification law.
How long we keep information
- Accounting and tax records are kept for as long as needed to provide our services and meet legal and professional record-keeping requirements.
- For our lead-response software, customer photos are deleted 90 days after the related job is completed or the lead is closed, unless the business asks us to keep them longer. When a business ends its service, we provide its data export and then delete its data, except where the law requires us to keep it.
Your choices
- You can ask us to access, correct or delete your personal information by contacting us below. Some information must be kept to meet legal obligations.
- If your information came to us through a business that uses our lead-response software, please also contact that business. We will help it respond to your request.
- Businesses that connect a platform such as Thumbtack can revoke our access at any time in that platform's settings.
Children
Our services are for businesses and adults. We do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this policy from time to time. The effective date at the top shows when it was last changed, and significant changes will be communicated to clients directly.
